Car Hire Agreement

All vehicle rentals are governed by a comprehensive Rental Agreement provided at the time of booking confirmation or vehicle pickup. This agreement outlines specific terms, conditions, insurance coverage, fees, and your obligations for the rental period. Should any discrepancies arise between these Terms and the Rental Agreement, the Rental Agreement will take priority.

Eligibility Criteria

Requirements for Renting a Vehicle

• To rent a vehicle from Car Hire in Hereford, you must be at least 21 years old. Age restrictions may differ based on vehicle type, and additional fees may apply for drivers under 25. A valid driving licence suitable for the vehicle class is required, along with identification and proof of your current address. You must also present valid payment information and a security deposit, in addition to any other conditions outlined in the Rental Agreement.

Booking and Payment Options

• You can make bookings via our website, by phone, or directly at our Hereford office. A deposit may be necessary to confirm your reservation. Full payment and a security deposit are generally required upon collecting the vehicle. All prices are quoted in British Pounds (£) and include VAT when applicable. We accept major credit and debit cards, ensuring secure transactions through trusted payment processors.

4. Vehicle Pickup and Drop-off

• At the time of vehicle collection, a thorough inspection is required to identify any pre-existing damage. It is essential to report such findings right away, as a vehicle condition report will be completed and signed by both parties. The vehicle must be returned in the same condition as it was collected, with only normal wear and tear accepted. Any new damages will be evaluated and charged accordingly. Please ensure that the vehicle is returned with the same amount of fuel as at collection; refueling fees will apply if the fuel level is lower. Late returns may also result in additional fees, so please inform us as soon as possible if you expect to return the vehicle late. You will be held responsible for any parking fines, traffic violations, or other charges incurred during the rental, along with an administration fee.

5. Coverage and Responsibility

• All rentals come with basic third-party insurance included. You can find comprehensive coverage details and excess amounts in the Rental Agreement. Additional insurance options may be offered to lower your financial liability. It is advisable to examine these options closely. You remain liable for damage or loss up to the insurance excess amount, unless you opt for extra coverage. Any damage resulting from negligence, misuse, or violation of these Terms remains your responsibility, regardless of insurance.

6. Modifications and Cancellations

Cancellation and amendment policies depend on the type of booking and the advance notice provided. For precise information, consult your booking confirmation or Rental Agreement. Late cancellations or failure to show may incur additional fees. Always review these details to avoid unexpected charges.

7. Restricted Activities

Prohibited vehicle uses:

• The vehicle must not be used for any unlawful activities. This includes racing, off-roading, or engaging in any dangerous practices. Transporting hazardous materials is prohibited. Sub-letting or permitting unauthorized drivers is not allowed. Driving while impaired by alcohol or drugs is strictly forbidden. The vehicle should only be used for its intended purpose, adhering to passenger and weight limits. Operating the vehicle outside the agreed geographical area requires prior permission.

Breach of these terms may lead to rental cancellation and extra fees.

Liability Limitations

To the fullest extent allowed by English and Welsh law, Car Hire Hereford will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business, that may arise from your use of our services. Our total liability for any claim will not exceed the amount you paid for your rental in the previous 12 months. This limitation does not apply to liability for death or personal injury resulting from negligence, or for fraudulent actions.

9. Local Law Compliance

These Terms are governed by the laws of England and Wales. Any disputes will fall under the exclusive jurisdiction of the relevant courts in these regions.

10. Terms Updates

We reserve the right to update these Terms at any time. Changes take effect immediately upon posting on our website. Continued use of our services indicates acceptance of the revised Terms.
